Zoom Integration Guide

Last Updated: October 18, 2026

This guide explains how to connect, use, and remove the Zoom integration in Close-Rate. Close-Rate imports your Zoom cloud meeting recordings and Zoom Phone call recordings for AI-powered sales coaching analysis.

Adding the Zoom Integration

Option A: One-Click OAuth (Recommended)

  1. Sign in to Close-Rate at close-rate.com

  2. Navigate to Manage Data from the sidebar and open the Import Data tab

  3. Under Data Integrations, find Zoom and click to expand it

  4. Click the "Connect" button next to OAuth

  5. You'll be redirected to Zoom's authorization page. Sign in with your Zoom account and click "Allow"

  6. You'll be redirected back to Close-Rate with a success confirmation

Option B: Server-to-Server OAuth (API Credentials)

For organizations that prefer API-based authentication, Close-Rate supports Zoom Server-to-Server OAuth. This method doesn't require individual user authorization and provides persistent access.

  1. Go to marketplace.zoom.us and sign in as a Zoom admin

  2. Click Develop > Build App and choose Server-to-Server OAuth

  3. Name it (e.g., "Close-Rate Integration") and click Create

  4. Copy your Account ID, Client ID, and Client Secret

  5. Go to the Scopes tab and add the following scopes:

cloud_recording:read:list_user_recordings:admin

phone:read:list_recordings:admin

phone:read:call_recording:admin

user:read:list_users:admin

user:read:user:admin

Optional: also add meeting:read:list_past_participants:admin so Close-Rate can list who joined each recorded meeting (see Meeting Attendees below).

  1. Go to the Activation tab and activate the app

  2. In Close-Rate, go to Manage Data > Import Data tab, find Zoom under Data Integrations, paste your credentials into the API Key fields, and click Save API Key

A step-by-step wizard is also available directly in the Close-Rate app by clicking "How to get these credentials" next to the API key fields.

Using the Zoom Integration

Importing Recordings

  1. Once connected, go to Manage Data from the sidebar

  2. Click the Import Data tab

  3. Under Zoom (in the Data Integrations section), click "Import Recordings" (coaches see "Manual Import")

  4. A dialog shows your available Zoom cloud and Zoom Phone recordings from the past year

  5. Select the recordings you want to import and click "Import selected"

  6. Close-Rate downloads the audio, transcribes it with AssemblyAI, and stores the conversation for analysis

  7. Already-imported recordings are marked so you won't accidentally import duplicates

Importing New Calls Automatically

A coach can have new Zoom calls come in on their own with Auto-Import:

  1. On the Zoom card, click "Auto-Import"

  2. Switch on "Automatically import new Zoom calls"

  3. Optionally, add filter rules on the meeting title or host. With no rules, every new recording is imported

  4. Choose how many days back each run looks (1 to 90), then click "Save". A run also looks back over any days a check missed, up to 90 days. After you turn auto-import back on or reconnect Zoom following a Disconnect, it starts from the days you chose

Every 4 hours, Close-Rate checks Zoom and imports the new cloud and Zoom Phone recordings your rules allow, from every user on your Zoom account. Recordings already imported are skipped. One check starts at most 50 imports; any more import at the next checks. To bring in older calls, use Manual Import. RingCentral recordings are imported only when you choose them.

Coming once Zoom approves it: Zoom will tell Close-Rate when a new recording is ready, and Auto-Import will then start that check early, usually within 20 minutes of Zoom's notice instead of at the next 4-hour check. The 4-hour check keeps running, and the same rules and limits apply. For Zoom meetings, this needs a new Zoom permission (see Recording-Ready Notices below), so it starts for your account after a coach clicks Reconnect on the Zoom card when Close-Rate asks. Reconnecting keeps your imported calls. Zoom Phone notices use a permission Close-Rate already has.

User Mappings

To properly attribute recordings to sales reps in your organization, click "User Mappings" on the Zoom integration card. This lets you map Zoom users to Close-Rate team members so that imported recordings are associated with the correct rep.

What Close-Rate Does with Your Recordings

  • Downloads the audio file from Zoom's cloud recording API

  • Transcribes the audio with AssemblyAI, which labels each speaker

  • Since October 15, 2026, our AssemblyAI account has been set so that AssemblyAI begins deleting each recording's audio and transcript one day after the request. The account is opted out of AssemblyAI's model improvement program, which AssemblyAI says means it does not use the audio we send it to train its models or for benchmarking. See the Privacy Policy for details

  • Stores the transcript in encrypted storage (Amazon S3) for analysis

  • Generates coaching reports, objection analysis, and performance insights

  • All data is encrypted at rest (AES-256) and in transit (TLS 1.2+)

Removing the Zoom Integration

Disconnecting in Close-Rate keeps the calls you imported. Uninstalling the app from Zoom deletes them.

Disconnect in Close-Rate (keeps your calls)

  1. Go to Manage Data > Import Data tab and find Zoom under Data Integrations

  2. Click the "Disconnect" button next to your connected OAuth account

  3. Close-Rate deletes the Zoom access tokens it stored, so it can no longer reach your Zoom account. All imports from Zoom stop, including Auto-Import

  4. Your imported calls stay in Close-Rate, and the Close-Rate app stays installed in your Zoom account

Remove API Credentials

  1. Go to Manage Data > Import Data tab and find Zoom under Data Integrations

  2. Click "Remove" next to the API Key status

  3. The stored credentials are permanently deleted from our database

Delete Imported Data

The in-app Disconnect button stops future access but keeps your previously imported conversations so you don't lose your coaching history. To delete that imported data yourself:

  • Delete individual conversations from the Manage Data page

  • Or contact client-services@close-rate.com to request full data deletion

Uninstall from Zoom (deletes your calls)

If you uninstall the Close-Rate app from your Zoom account, Zoom tells us, and we automatically and permanently delete everything we imported from that Zoom account: the calls, their transcripts and the search data built from them. No request is needed, and the deletion cannot be undone. To uninstall:

  1. Sign in at marketplace.zoom.us

  2. Click Manage, then Added Apps

  3. Find Close-Rate and click "Remove", then click "Remove" again to confirm

Uninstall while Zoom is still connected in Close-Rate, without clicking Disconnect first. If you already disconnected, email client-services@close-rate.com and we will delete your Zoom calls.

Permissions & Scopes

Close-Rate requests the minimum scopes necessary to function:

  • cloud_recording:read: list and download cloud recordings (read-only)

  • phone:read: list and download phone recordings (read-only)

  • user:read: read user info and list users for rep mapping

We do not request any write, delete, or meeting-join permissions. Close-Rate cannot modify your Zoom account in any way.

Meeting Attendees

The meeting:read:list_past_participants:admin permission (read-only) lets Close-Rate see who joined a recorded meeting: the name each person used in Zoom, the email address and Zoom user ID that Zoom returns for people in your Zoom account (guests from outside it usually appear by name only), and when each person joined and left.

Close-Rate stores this list with the call and deletes it when the call is deleted. We use it to count and name the speakers in the transcript and to help identify the caller.

Close-Rate collects attendee lists only from Zoom connections that include this permission. Close-Rate starts asking for it when you connect Zoom once Zoom approves it. Until then, Connect does not request it and calls import as before, without an attendee list, so there is nothing to reconnect yet. If you connected Zoom before then, reconnect Zoom in Close-Rate when it asks you to. Reconnecting keeps your imported calls. Do not uninstall the app to add the permission, because uninstalling permanently deletes the calls imported from Zoom.

Recording-Ready Notices

Zoom requires the cloud_recording:read:recording:admin permission (read-only) before it will notify Close-Rate that a cloud meeting recording is ready (Zoom's recording.completed notice). Zoom Phone sends the same kind of notice (phone.recording_completed) under phone:read:call_recording:admin, which Close-Rate already has.

Close-Rate accepts a notice only when Zoom's signature on it is valid. It reads only your Zoom account ID from the notice and uses it only to start your Auto-Import check early. We do not store the notice or anything in it, and we never use the download link it contains: the recording is listed and downloaded the same way as in the 4-hour check, under your Auto-Import rules. If Auto-Import is off, the notice is ignored. Zoom sends these notices only to the Close-Rate app, so they cover connections made with Connect (Option A), not your own Server-to-Server app.

Close-Rate will ask for this permission when you connect Zoom, together with the attendee permission above, once Zoom approves both. Until then, Auto-Import checks every 4 hours as before. If you connected Zoom before then, reconnect Zoom in Close-Rate when it asks you to.
