Privacy Policy

Last Updated: October 18, 2026

Introduction

PathFinder Close-Rate ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI-powered sales coaching platform.

Information We Collect

We collect information that you provide directly to us, including:

  • Account information (name, email, phone number, organization details)

  • Sales call recordings and transcripts imported via connected integrations, including both Zoom cloud meeting recordings and Zoom Phone call recordings (Zoom, RingCentral)

  • For recorded Zoom meetings, the list of people who joined: the name each person used in Zoom, the email address and Zoom user ID that Zoom returns for people in your Zoom account (Zoom usually returns only a name for guests from outside it), and when each person joined and left. We collect this only from Zoom connections that include Zoom's meeting attendee permission (such as meeting:read:list_past_participants:admin). We ask for this permission when you connect Zoom, starting once Zoom approves it. A connection made before then does not include it until you reconnect Zoom when we ask you to. We store the list with the call, delete it when the call is deleted, and use it to count and name the speakers in the transcript and to help identify the caller.

  • Zoom's notices that a new recording is ready, starting once Zoom approves them. For Zoom meeting recordings, Zoom sends these only to Zoom connections that include Zoom's recording permission (cloud_recording:read:recording:admin), which we will ask for when you connect Zoom from then on; Zoom Phone recordings use the phone recording permission we already have. We read only your Zoom account ID from a notice and use it only to start your Zoom Auto-Import check early. We do not store the notice or anything else in it, and if Auto-Import is off we ignore it.

  • Conversation metadata, performance data, and coaching report outputs

  • Usage data collected with PostHog: the pages you view, where you click and how far you scroll, and session replays that show how pages are used, along with your browser, device type and approximate location. On signed-in screens, replays and click data mask all text and everything you type, so call recordings, transcripts, coaching reports, AI Insights answers and the names of reps and customers shown on screen are not captured. When you are signed in, this activity is linked to your account (your name, email address and workspace).

  • Marketing attribution data — campaign parameters (UTM values, including the ad platform's campaign ID, and the Google and LinkedIn click IDs) and visits to our business-card pages, including whose card page you visited. We store these in first-party cookies for 90 days and associate them with your account if you create one, or with your sample report request if you make one. A card-page visit does not necessarily mean a physical QR-code scan.

  • If you ask us to email you the sample report, you do not need an account. We store the email address you enter, whether you ticked the box for updates from Brian, when we sent the report, and the campaign parameters above from your visit. We keep this until you ask us to delete it: email client-services@close-rate.com and we will remove your address and everything stored with it.

How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our services

  • Generate AI-powered coaching insights, reports, and objection analysis

  • Analyze sales performance trends at the individual and team level

  • Communicate with you about your account and our services

  • Send the sample report you asked for, and occasional updates from Brian only if you ticked that box

  • Use call data, with personal details removed, to train and improve the models behind Close-Rate, unless a coach has turned this off in Settings

Data Security

We implement industry-standard security measures to protect your data, including:

  • TLS 1.2+ encryption for all data in transit

  • AES-256 encryption for data at rest (Amazon RDS, S3)

  • OAuth tokens encrypted using Fernet symmetric encryption before database storage

  • JWT-based authentication via Clerk.dev with RS256 signing

  • Role-based access controls and multi-tenant organization isolation

Model Training

By default, a workspace allows Close-Rate to use its call data, with personal details removed, to train and improve the models behind Close-Rate.

A coach can turn this off at any time in Settings. It then stays off until a coach turns it back on, and Close-Rate will not use that workspace's call data to train or improve its models while it is off.

We also send call content to the providers listed under Third-Party Services so they can transcribe and analyze it for you. For Anthropic, OpenAI, TypeSafe and AssemblyAI, what each says about training is listed there.

Data Sharing

We do not sell your personal information. We may share your information only:

  • With service providers who assist in operating our platform (AWS for infrastructure; Anthropic for conversation analysis and AI Insights; OpenAI for embeddings and auxiliary text processing; TypeSafe for ranking transcript excerpts against coaching questions; AssemblyAI for transcription; Clerk for authentication; Resend for email delivery)

  • When required by law or to protect our rights

  • With your explicit consent

SMS consent is not shared with third parties or affiliates. Mobile phone numbers and SMS opt-in data are never sold, rented, or transferred to any third party or affiliate for marketing or any other purpose.

SMS/Text Messaging

If you opt in to receive SMS/text messages from Close-Rate, we collect and store your mobile phone number, your opt-in consent record, and message delivery logs.

We use SMS only for service-related communications you have consented to, such as account notifications, coaching report alerts, and scheduling reminders. We do not send marketing text messages without your separate express consent, and consent to receive SMS is never a condition of purchasing or using the Service.

SMS consent is not shared with third parties or affiliates. Your phone number and opt-in status are used solely to deliver the messages you signed up for.

You can opt out at any time by replying STOP to any message. Reply HELP for assistance, or contact us at client-services@close-rate.com. Message frequency varies, and message and data rates may apply.

Your Rights

You have the right to:

  • Access and review your personal data

  • Request correction or deletion of your data

  • Turn off the use of your workspace's call data to train and improve the models behind Close-Rate (a coach can do this in Settings at any time)

  • Export your data (coaching reports available as PDF downloads)

  • Disconnect integrations and revoke OAuth access at any time

  • Delete your account and all associated data

Third-Party Services

Our platform integrates with third-party services including:

  • Clerk: Authentication and user management

  • Amazon Web Services (AWS): Cloud infrastructure, database hosting, file storage, and search

  • Anthropic (Claude): Primary AI model for coaching-report generation and AI Insights chat; receives conversation transcript text. Anthropic's commercial terms say it may not train models on customer content sent through its services.

  • OpenAI: Text embeddings, participant extraction, auxiliary text processing, and fallback evidence ranking; receives transcript text and, to work out who was on a call, the meeting title, the host and any Zoom attendee names and email addresses. OpenAI says data sent to its API is not used to train its models unless the customer opts in to share it.

  • TypeSafe: Ranks authorized transcript excerpts against coaching questions so the coaching model can select relevant evidence; receives question text and bounded excerpts. TypeSafe's privacy policy says it does not train or fine-tune models on the input customers send it.

  • AssemblyAI: Transcription only; receives call audio and returns the transcript. Since October 15, 2026, our AssemblyAI account has been opted out of AssemblyAI's model improvement program. AssemblyAI says this means it does not use the call audio we send it, or de-identified data made from that audio, to train its models, and does not use that audio for benchmarking. The account is also set so that AssemblyAI begins deleting each call's audio and transcript one day after the request. Deletion can take longer to finish, and AssemblyAI keeps certain metadata for logging and billing. AssemblyAI's terms also let it keep de-identified data made from the audio and use it for purposes other than training its models, such as testing and benchmarking.

  • Zoom & RingCentral: Call recording import (when connected by user), Zoom meeting attendee lists from Zoom connections that include that permission, and Zoom's notices that a new recording is ready (see Information We Collect)

  • Resend: Email delivery, including scheduled coaching reports and the sample report email; receives each email's recipient address and contents

  • PostHog: Product analytics: page views, clicks, scrolls and session replays of how pages are used. On signed-in screens, text and typed input are masked, so call content, reports and the names of reps and customers are not captured. Activity while signed in is linked to your account (name, email address and workspace).

  • LinkedIn: The LinkedIn Insight Tag measures advertising performance using page views and conversion events, including confirmed trial signup, the first completed call import and a request to email the sample report. Conversion events do not include email addresses, recordings, transcripts, coaching content, or customer names.

These services have their own privacy policies. We encourage you to review them.

Data Retention

We retain your data for as long as your account is active or as needed to provide our services. Raw call audio is never persisted to our storage — it is streamed to an ephemeral temporary file solely for transcription and deleted immediately afterward. For calls transcribed since October 15, 2026, AssemblyAI, our transcription provider, begins deleting its copy of the audio and transcript one day after each request (see Third-Party Services). Transcripts are stored in Amazon S3 with server-side encryption (SSE-S3, AES-256) and indexed for search (text chunks and embeddings) in our encrypted database, coaching reports are stored in our database, and PDFs are generated on demand rather than persisted. You can request deletion of your data at any time, and we will comply in accordance with applicable law. Deleting a conversation or an organization permanently removes the associated database rows, including the search index entries, and the S3 transcript and embedding objects. If you uninstall the Close-Rate app from a connected integration such as Zoom, we automatically and permanently delete all data we imported from that integration account.

Cookie Policy

We use essential cookies for authentication (Clerk session management) and functional cookies for user preferences, and PostHog cookies for product analytics and session replay.

We also use advertising cookies. The LinkedIn Insight Tag measures advertising performance, and we store a first-party cookie recording the campaign parameters of the link you arrived through for 90 days. Those first-touch values are saved on your company account during signup. Confirmed trial and first-call-import milestones, and a request to email the sample report, may be reported from the application; call content and email addresses are not included. You can block advertising cookies and tags with your browser controls or a content blocker without affecting your use of Close-Rate.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last Updated" date.
